Super Admin + company desk

User manual

Step-by-step use of Creavix Desk after installation. Super Admin manages the platform. Each company runs its own desk. Business modules are documented separately under Modules.

1. Introduction

Desk is a multi-company business platform. One Super Admin account (created in the installer) owns the site. Companies register or are created by Super Admin. Each company’s data stays private.

English is the default language. Change language from the header or from Settings → System.

Install first: Setup & installation.

2. Sign up (new company)

If Super Admin left registration enabled (Settings → System → Enable registration):

  1. Open https://your-domain.com/login and choose Create a workspace (or open /register).
  2. Enter company name, your name, work email, password, and confirm password.
  3. If Super Admin set a Terms URL, tick the agreement checkbox.
  4. Submit. Desk creates the company, starts the plan trial, makes you Admin, and adds Cash, Card, and Bank Transfer as payment methods.

If email verification is enabled, open the link in the inbox before using the desk. If registration is disabled, Super Admin must create the company under Companies.

3. Login, forgot password, locale, cookies

  1. Visit /login.
  2. Enter the work email and password. Optionally keep the session on this computer.
  3. Forgot password: /forgot-password — a reset link is emailed only to that account.

The header locale switcher stores the UI language across 18 shipped locales. RTL locales (Arabic, Hebrew) flip the layout. English is the source language; other locales translate the application UI. Details: Support → Languages.

If the cookie banner is enabled, visitors can accept, decline, or keep necessary cookies. Super Admin can download consent logs from Cookie Settings.

4. Super Admin login

  1. Open /login with the Super Admin email created in the installer.
  2. After login you land on /superadmin.

Profile (name, email, photo) and Change password are in the Super Admin header menu. Language can be switched from the header for any user type.

Super Admin Dashboard
Super Admin Dashboard on desk-demo.creavix.io/superadmin: Platform overview, tenant accounts, active plans, and order revenue.
Use Login as on a company to see that tenant’s desk. A banner lets you exit impersonation and return to Super Admin. Impersonation also works on a suspended company so you can inspect it.

5. Super Admin dashboard

The dashboard shows companies, non–Super Admin users, active subscriptions, paid-order revenue, orders, pending bank transfers, trials, and logins today. Use it as a shortcut into Orders and Companies.

6. Companies

Menu: Companies · /superadmin/companies

Filter by name or status (active / trial / expired / suspended).

6.1 Create a company

Fields: name, email, phone, plan, status, trial end date, then the first Admin (name, email, password).

6.2 Company actions

  • View / Edit — name, plan dates, active flag.
  • Toggle — suspend or activate. Company admins are notified.
  • Login as — impersonate the company Admin.
  • Reset admin password — set a new password for the company Admin.
  • Company users — add, edit, toggle, reset password, or delete users inside that tenant. Create respects the plan’s user limit.

7. Platform users

Menu: Users · /superadmin/users

Lists Super Admins and company users. Filter by name/email and type (super / company). Fields: name, email, phone, password, company, active, Super Admin flag, role. You cannot delete your own account.

8. Plans, coupons, bank transfers, orders

8.1 Plans

Menu: Subscription → Plans

Each plan has name, description, monthly/yearly price, trial days, limits (users, customers, products, invoices), feature bullets, sort order, popular badge, and active flag.

Module access: tick “all modules” or pick which ones this plan includes (CRM, HRM, Accounting, Projects, POS, Products, Billing, PayPal, Stripe, AI, and so on). You can also set a separate price if you sell a module on its own.

A company only sees a module in the sidebar when it is active in Add-ons Manager and allowed on that company’s plan (or purchased). Otherwise they are told the module is not on their plan.

8.2 Coupons

Code (stored uppercase), name, type (percent / fixed), value, minimum order, max discount, usage limit, start/expiry, active.

8.3 Bank transfers

When a company pays a plan or purchasable addon by bank, a pending row appears here. Approve activates the subscription; reject marks the order failed (optional admin note).

8.4 Orders

Filter by status. Open an order to review it. Mark paid activates the subscription (use for manual / offline payments).

9. Landing page (CMS)

Menu: Landing Page · /superadmin/cms

Editor tabs: Setup, Layout, Content, Social, Engagement, Theme Color, Page.

Sections (show/hide and reorder): header, hero, stats, features, modules, benefits, gallery, pricing, testimonials, FAQ, CTA, footer. Each section has title, subtitle, items, and settings (for example, pricing can show live plans).

Setup fields include company name, contact email/phone/address, colors, footer text, newsletter, feedback widget, and social links. Page SEO: meta title, description, keywords, published/draft.

Public URLs: homepage /. Extra landing pages you create use an address like /p/about. The homepage cannot be deleted.

Turn the public landing off from Settings → System → Enable landing page.

10. Email templates & notification templates

10.1 Email templates

Transactional mail (password reset, welcome, subscription, payment, and similar). Filter by search and module. Create: name, subject, body, module, from name. Edit translations per locale. Placeholders look like {name}, {company_name}, {reset_url}.

If a template is missing or inactive, a built-in default message is used.

When AI is on, a wand icon can draft the subject and message. Placeholders such as {name} stay in the text.

10.2 Notification templates

In-app and email notification copy. Channels: in-app and email. Types: info, success, warning, danger.

10.3 Email notification toggles

Settings → Email Notification Settings: new company, new subscription, payment success/fail, invoice created, payment reminder, subscription expiry.

11. Super Admin settings

Menu: Settings · left nav switches the group (URL /superadmin/settings/{group}).

Logo/favicon: JPG, PNG, WebP, or GIF (ICO allowed for favicon).

11.1 SaaS PayPal webhooks

  1. Create a REST app in your PayPal account and copy the Client ID and Secret.
  2. Paste Client ID and Secret under PayPal Settings. Use Sandbox while testing.
  3. Webhook URL: https://your-domain.com/webhooks/paypal. Save the Webhook ID. Events without a Webhook ID are rejected.
  4. Subscribe at least to CHECKOUT.ORDER.APPROVED and PAYMENT.CAPTURE.COMPLETED.

The browser return URL still captures the order if the buyer stays on the site. The webhook covers a closed tab after payment.

12. Add-ons Manager

Menu: Add-ons Manager · /admin/addons

Bundled modules (CRM, HRM, Accounting, Projects, POS, Products & inventory, Billing, PayPal, Stripe, AI) appear after install and are active by default. AI buttons stay hidden until Super Admin enables AI in Settings.

  • Upload ZIP — if you receive an extra module file, upload it here (about 50 MB maximum).
  • Activate / Deactivate — off modules are hidden from companies.
  • Price / purchasable — optional, if you sell a module from company Billing.
  • Uninstall — optional “remove data”.
  • Update ZIP — replace an installed module with a newer file.

Full walkthrough: Add-ons Manager.

13. Activity & login history

Activity (/superadmin/activity) — user, company, action, IP. Filter by text, action, company. Read-only.

Login History (/superadmin/login-histories) — successful and failed logins. Filter by status, email, or IP.

14. Company dashboard

Company users land on /dashboard, which opens the first module dashboard they can see (usually Invoicing Dashboard). The sidebar Dashboard parent lists one dashboard per active module: Invoicing, POS, CRM, HRM, Project, Accounting, and Catalog. Each page has KPI cards, charts, and a recent-records table. There is no empty welcome dashboard when a module is on. Suspended companies cannot log in. Expired subscriptions are sent to the company Subscription page to renew.

15. Company users & roles

Menu: User Management

15.1 Users

Create: name, email, password, role, phone. Filter by search, role, status. Toggle active, reset password, delete. Plan user limits apply on create.

15.2 Roles

Each company has Admin, Manager, Staff, and Cashier plus any custom roles you add. Permissions are grouped (core + addons) and scoped to that company only. Editing Staff in Company A never changes Company B. You cannot rename/delete the protected Admin role. Super Admin is not a company role.

If a role does not include a permission, that person cannot open the page — even with a direct link.

16. Company settings

Menu: Settings · /settings/{group}

GroupFields
CompanyName, email, phone, address, city, state, country, zip, invoice prefix, tax number, logo, default tax rate, invoice terms/notes
BrandTenant brand (when enabled) — logos and colors for this company
SystemLanguage, date/time, week start, timezone, per page
CurrencyCompany currency display
BankBank instructions (SaaS checkout context)
Recurring / ReminderCompany-level recurring invoice and reminder behaviour
EmailCompany SMTP + test send
PaymentsPayment methods used on invoices (name, active)
PayPalCompany invoice collection (own Client ID / Secret). Shown when the PayPal module is on the plan.
StripeCompany invoice collection (own secret key). Shown when the Stripe module is on the plan.

17. Subscription checkout (company pays the platform)

Menu: Subscription — this is SaaS subscription, not the invoicing module.

  • Setup Subscription Plan — compare plans. Start a trial if eligible, pay with PayPal or Stripe, or submit a bank transfer with proof.
  • Orders — history of plan/addon orders.
  • Bank Transfer Requests — pending proofs until Super Admin approves.
  • Purchasable addons — if Super Admin marked a module purchasable and priced it, the company can buy it with PayPal, Stripe, or bank even if it is not on the plan.

18. Profile, password, API tokens

/profile — name and email; change password; delete account (current password required).

API tokens: create or revoke personal tokens under Profile (60 requests per minute). Use them only if you connect another app to this account.

GET /api/v1/me
GET /api/v1/business

These return the current user and company. They are not a full data API.

In-app notifications: open the bell, mark one or all as read. Company Activity lists actions inside that company if the role allows it.

19. Business modules

Open a module only after it is active and included on the plan. Each guide lists menus, create-form fields, and reports.
